UNDER 18 Member Handbook & Administrative Guidelines
On behalf of the band, it is my absolute pleasure to welcome you to the Peachtree Wind Ensemble! It is truly an honor to be conductor of such an enthusiastic ensemble. To those of you that have been members throughout the years I extend hearty thanks and to those of you that are joining us for the first time you’re in for a real treat! Great music inspires. Its beauty, power and exquisite craftsmanship fill us with wonder and gratitude. As we are swept up in its emotional surge, we experience a new sense of what it really means.
My goal and the goal of our board of directors, section leaders and the band membership, is to provide a place where you can use your musical ability along with the cooperation of others to make the best collective performance possible. You may also find opportunity for small ensemble playing. The band is a great place for making new friends and finding a common purpose in music. We are a caring group and we are happy that you’re here as you are important to the band. I look forward to meeting you personally and greeting you each Monday night when you come into rehearsal.

The Peachtree Wind Ensemble (PWE) is a non-auditioning community concert band that rehearses and performs in and around Peachtree City, GA. Its members represent all professions and include amateur musicians, music professionals, and those returning to music. Together we share a passion for music and believe that a community rich in the arts, flourishes.
Provide a forum for adult musicians to interact and use their musical skills for personal enrichment; and Encourage individual growth and development in musical skills and knowledge; and Provide community service through public performance; and Foster an appreciation of music within our community.

Section Leaders are appointed by the Conductor and may be changed at any time. Section Leaders main responsibilities are: both the musical and personal “Harmony” of the section; the organization of their section; part distribution and copies; section membership forms and dues; communication with their section, board and conductors; to lead any sectional rehearsal; rehearsal attendance, concert attendance and part coverage. Section Leaders are not disciplinarians. They do bring their concerns and the concerns of those in the section to the Conductor/President.

Membership dues, donations, and sponsorships are the primary source of funding for the band and are essential to help cover operating costs and the purchase of new music. Dues may be paid annually (one payment), or bi-annually (two payments) per PWE Year. A PWE Year is defined as August 1 through July 31. Payments may be made with cash or by check made payable to Peachtree Wind Ensemble, and may be given to any board member.
Membership Dues are as follows:

Annual dues are only collected August through December.
Music Librarian(s) will distribute ALL parts to the appropriate Section Leader. Section Leaders will distribute parts to their section according to the “Part Assignments & Seating” section in this handbook. Section Leaders are to turn in all extra parts (including those parts for members not at rehearsal) to the Music Librarian(s). These extra parts will be kept at the rehearsal hall so they are available should the Section Leader miss rehearsal. If extra copies are needed, Section Leaders first should attempt to make copies themselves OR Section Leaders ONLY are to give the part(s) to the Music Librarian(s) so they can make the necessary copies for the next rehearsal. Music Librarian(s) are not to make copies during rehearsals unless directed by the Conductor. If parts are missing, Section Leaders ONLY should let the Music Librarian know so they can locate the missing part (misfiled, google search, conductor to order).
On the date of the final performance, the Librarian(s) will provide each Section Leader with a folder or envelope with the below instructions included.

Collect all your sections music. Sort music by song and by part (Song A - 1st part, 2nd part, 3rd part; Song B – 1st part, 2nd part, 3rd part etc.) Write down the names of those members who have music and: are not at the concert; left the concert and did not turn in their music; left the band and did not turn in their music.
NOTE: Section Leaders are to follow up with the below members to ensure their music is returned. Once the music is turned in, Section Leaders will give the member’s name and music to the Music Librarian who will check the name off this list.
Put all music and this form in the envelope/folder and place it in the music box.
Your Music Librarians
The Conductor and Librarian are responsible for sorting, filing and indexing each piece of music to the appropriate PWE file folder and cabinet. The Conductor and Librarian may request volunteers from the membership to help with their filing and copying responsibilities.
PART ASSIGNMENTS & SEATING
Each Section of the band is different with respect to the number of parts, number of musicians, and range of experience/talent within the section. Therefore the Section Leader and Conductor will determine what works best for each section.
Parts may be assigned on a rotational basis to give members, who so desire and are capable, the opportunity to play 1st and solo parts. Individuals may be assigned a mixture of parts (some 1st, some 2nd, and some 3rd based on the members comfort level). Alternatively parts can be assigned by season/concert, with individuals assigned to 1st, 2nd, or 3rd parts for the spring season and then reassigned to another part for the fall season OR for each concert. The ultimate goals are to balance the music and offer an enjoyable playing experience for all members. Members that play a 1st or solo part must attend rehearsals. If these members miss a number of rehearsals, their parts and/or solos may be reassigned. This guideline ensures parts will be covered and well-balanced within the section; and that 1st and solo parts are performed by those who have attended rehearsals. Multiple members should be prepared to play the solos. In the event that a solo player unexpectedly misses a performance, the Section Leader will always assign another in the section to be the backup and play the solos. If a solo player knows beforehand that they will miss a performance, the solo parts should be reassigned as soon as possible to give the backup player adequate rehearsal time. Seating within the section may also be rotated, changed and/or assigned to provide proper coverage and balance to all parts, as well as give all members an opportunity to sit up front. The ultimate goals are to balance the music and offer an enjoyable experience for all members.
RECORDING & POSTING PERFORMANCES
Members may record rehearsals and performances for their own personal use. However, recordings of PWE rehearsals and performances may not be publicly distributed or posted on the Internet, as copyright laws require a paid license.
By joining the Peachtree Wind Ensemble you give the following permissions:
To list your name and instrument on the PWE Website and Concert Programs; and To include your contact information on the PWE Membership List that is distributed to the Board, Conductor, Assistant Conductors, Section Leaders and upon request, Members ONLY. NOTE: Members are not allowed to distribute this list to any non-member or use it for any purpose other than PWE business; and To use any video images, photographs, audio recordings, or any other visual or audio reproduction that may be taken of you while participating in activities sponsored by the Peachtree Wind Ensemble, to be used, distributed, or shown as PWE sees fit.
PWE rehearses on Monday nights from 7:30-9:00 p.m. Rehearsals run 11 months out of the year with breaks during summer vacation and winter holidays. The year is divided into two seasons: Spring-Summer and Fall-Winter, which features at least two concert performances each season.
- Please bring a music stand and pencil to each rehearsal and come prepared with your music well practiced.
- Members are encouraged to make all rehearsals
- Notify your Section Leader if you are unable to attend.
- Please be in your seat ready to play at 7:30 p.m. If you arrive late, wait for a break in the music before joining the group so as not to disturb the other musicians.
- Silence your cell phones during rehearsals. No texting allowed. If you must take a call or text, please step outside of the rehearsal room.
- Refrain from unnecessary talking and chatting.
- When a tuning note is given, stop playing so that all can hear it.
- As the band warms up, it is more important to play in tune with the band than with a tuner.
- When the conductor gives instructions for places in the music, please write it in your music.
- The conductor should not have to repeatedly remind musicians of the same changes.
Concert information will be sent to the PWE email list and posted to the website’s members’ page with call times, performance time, music order, concert attire, and other logistical information.
- All cases, bags and non-essential items are not to be on stage and should be stored in the designated area.
- Be in your seat ready to play by the assigned call time. If you arrive late, do not seat yourself in the band while they are performing. Wait until a piece is over and get a “head-nod” approval from the conductor before joining the group.
- Don't talk during performances, play during breaks, tap your foot, count measures out loud, or make grimaces or shake your head if you or someone else makes a mistake.
- Swab or empty your instrument quietly and try not to draw attention to what you are doing.
- Don't change your music until the audience has finished applauding (especially when standing).
All Black -
Please, no white, gold, red etc.
- Women – Long Dress, Long Skirt or Pants and a Blouse (at least 3/4 length sleeves) Black Dress Shoes.
- Men - Dress Pants, Long Sleeve Button Down Dress Shirt, Black Dress Shoes and Black Socks (Optional Jacket and Dark Tie).
White Peachtree Wind Ensemble golf shirts (ordering instructions are on the PWE Website Member’s Page) or other white golf shirt and khaki pants, shorts or skirts.

REPORTING OF HARASSMENT
If you believe that you have experienced or witnessed sexual harassment or other harassment by any Member of Peachtree Wind Ensemble, you should report the incident immediately to the Conductor and to the Board. Possible harassment by others with whom Peachtree Wind Ensemble has a relationship should also be reported as soon as possible so that appropriate action can be taken.
If Peachtree Wind Ensemble determines that a violation of these policies has occurred, it will take appropriate disciplinary action against the offending party, which can include counseling, warnings, suspensions, and termination of Membership. Members who report violations of this policy and Members who cooperate with investigations into alleged violations of this policy will not be subject to retaliation.

The Child's Parent/Legal Guardian is to complete this form AND the Liability Release Form on the next page.
At the child's first Rehearsal, please give your Membership Dues to the Treasurer.
